Ongoing engagement

Complete company IT from scratch – with a project portal where every party sees only its own area

SP Baumanagement, a project and construction management firm with entities in Germany and Croatia and a team working from Germany, the UAE and West Africa, had no IT of its own. Arifi Global is planning and building it from the ground up – Microsoft 365, a SharePoint project portal with internal and external sign-in, the office network and the website – and runs it on an ongoing basis.

Simplified target architecture – deliberately without network details, device data or security configuration. The status of each building block is listed below.

The starting point

SP Baumanagement had no IT of its own and no IT department: an unused email package from the domain registrar, network cabling laid in the office but never used, and no Wi-Fi. The website was a placeholder page.

The managing director's brief was short: simple, secure, working – without a pile of subscriptions. On top of that: a project portal in which the client, planners, trades and bidders each see only what concerns them, secure access from Germany, the UAE and West Africa, and documentation that any future IT provider can pick up.

Our approach

  1. 01

    Concept and planning

IT concept and hardware plan worked out with the managing director, plus an access concept in three circles: internal, planning team, and strictly separated parties such as the client, trades and bidders.

  2. 02

    Microsoft 365 and email

A dedicated Microsoft 365 tenant (Business Premium) with data stored in Germany, the domain moved over, verified email authentication, multi-factor sign-in for everyone and central security policies.

  3. 03

    Intranet and project portal

A SharePoint hub with an internal area and a template for project sites: libraries per party, metadata by design stage, lists for drawing deliveries, defects and participants. External parties sign in as guests and see only their own area.

  4. 04

    Office network and ongoing operation

Network rack, firewall and switch installed on site, every outlet documented, Wi-Fi pre-configured. From there, Arifi Global takes over ongoing administration and support.

Results

  • Its own Microsoft 365, data in Germany

A cleanly built tenant instead of an unused package from the domain registrar – with data residency guaranteed in Germany.

  • Protected sign-in, verified email

Multi-factor sign-in for everyone, and email authentication that passed a real-world test.

  • Separated access – tested

Client, planning team, trades and bidders see only their own area – verified with test guests for all four party types before a live project starts.

  • New projects from a template

Every project site is created from the same template, with permissions set by script rather than by hand each time.

  • Office network in place

Network rack, firewall and switch are installed and configured, and every outlet is documented.

  • Documented end to end

Every decision and setting is written down – so any future IT provider can take over without starting from zero.
